Triangle Software | Clancy Case Study | Boosting Compliance with Mobile Workforce Management Software

The Background:
Triangle Software began working with Clancy’s Traffic Management (CTM) department in 2017.
The department wished to modernise their business by transitioning from paper processes to a mobile application. We designed a bespoke mobile workforce management solution to bring a range of benefits to the organisation.
- Enforced Compliance: Regimented workflows guarantee their workers collect the data they need to stay compliant
- Paper Savings: Eliminated roughly 5000 pieces of paper a week from their administrative processes and reduced their carbon footprint
- Increased Productivity: Minimised time-consuming admin which allows workers in the office and field to be more productive
Why did Clancy need Mobile Workforce Management Software?
When we began working with Clancy’s Traffic Management department, paper forms and spreadsheets were the predominant methods of data collection.
As the department expanded the pitfalls of paper processes became more apparent. CTM was relying on their operatives to complete paperwork in full, and they were eager to streamline the current paperwork and make administrative tasks quick and straightforward for their workforce.
Together, we identified the department would benefit from a mobile application. The software solution would need to support auditable trails through streamlined workflows and features that enhance compliance; as well as providing greater visibility of their operatives’ daily duties.
The Solution – A Bespoke Mobile Workforce Management System
At Triangle, we designed Clancy Traffic Management a bespoke mobile workforce management system. It includes a mobile application and a desktop back-office manager.
- Office-based staff can schedule and deploy jobs to their workforce using the centralised back-office application. Field data is also accessible here and can be exported for further processing.
- The mobile application has a simple, user-friendly interface to aid staff buy-in and empowers operatives to collect accurate data from the job site via mobile forms.
The system enforces compliance with step-by-step workflow functionality that facilitates the collection of accurate data.
The Results – How does the Mobile Application Benefit Clancy?
Clancy Traffic Management has seen a range of positive results from their mobile workforce software solution, including better compliance, increased visibility and paper savings.
Time savings: Removing paper processes has increased productivity within the admin team as the software eliminates lengthy procedures, such as data entry, scanning and printing.
Boost compliance: Regimented workflows enable operatives to complete tasks in the correct order to ensure they follow regulatory procedures. Mobile form features like mandatory fields guarantee that every answer field is populated before employees can submit the information.
Enhanced visibility: Real-time updates provide CTM with better visibility of their operatives’ day-to-day activities. Managers can quickly identify gaps in the workflow and can update the job schedule accordingly. A centralised database provides an overview of every depot so they can effectively plan cross depot coverage, which ensures the workforce is working at optimum capacity and keeps job completion dates on track.
Paper savings: CTM saves roughly 5000 sheets a week, since removing paper processes. It has allowed substantial cost savings from paper, printing and administration. Their carbon footprint has also reduced as operatives no longer have to drive to and from the depot to deliver paperwork.
Improved communication: Real-time updates from the job site enable CTM to deliver information to clients promptly.
Reduced costs: Auditable trails enhanced with image capture and timestamps enables operatives to provide evidence to challenge any potential section 74s and FPNs.
How has Mobile Workforce Management Software Helped during the Pandemic?
The software provides the ability for the CTM team to work remotely and promotes social distancing because job information can be distributed and collected in a contactless manner via smart devices and laptops.
It’s also assisted with business continuity as managers have been able to audit jobs while working from home thanks to the cloud-based management system.
Thoughts from CTM
Andrew Manning, Traffic Management Planning and Performance Manager at Clancy says:
“It was imperative that we had a user-friendly, workable app for our operatives and overall the software has been well received by all our depots across the UK.
“The software has helped us to streamline our workflows and has revolutionised the way we work as a business.
“One of the most appealing features for us was the ability to enforce compliance and bring consistency to our procedures. Our operatives can now follow regimented workflows. We can create auditable trails to quantify what we’ve got out on the roads and see what resources we have at our disposal.
“We can easily review the standards of the work and export the data for further analysis and reporting.
“The software also gives added value to our customers as we can extract the data and then use it to provide reports and dashboards to our clients.”
